Loaned items notice- how to
August 12, 2024
Are you looking for a way to notify parents about what items their kids are checking out? While there isn’t an automatic receipt sent out after an item is checked out, you CAN set up the Loaned Items Notice to run daily and let parents know what their child checked out that day.
To send emails through Alexandria, email preferences will need to be set up! Check out our Integrated Email Services to keep it simple, or review email preferences and email notices best practices. |
To create a daily email notice:
- Go to Operations > Notices
- Click Add notice
- From the categories on the left, select Items Out
- From the results on the right, select Loaned Items Notice then Create
- On the Overview tab, check the Schedule box, set the report to run daily, and enter the time you want the report to run. **Note: We suggest scheduling the report to run once the library is closed to ensure all checkouts from the day are included. You can also customize the notice name and enter any important notes from here.
- On the Selections tab, use the drop-down for Patrons with Items Borrowed and select Relative Date. For the relative date selection, enter This 1 Day. Feel free to use any other select-by options such as patrons or items in specific policies.
- Go to the Options tab
- Change the format to email, select which emails you would like to send to (either just the Primary or both Primary & Other emails), if you would like to include the replacement cost and cover art, and customize your notice text.
- Click Save at the top right.
Your email notice will now be set up to run daily at the specified time to all patrons who have items checked out on that day!
Note that this notice will only be sent once, on the day the item is checked out, and not each day of the item loan period.
